Data comes in all forms. Here’s how to handle it.

Although paper documents remain prevalent, data capture increasingly involves a wide range of paper and electronic document types, in a variety of forms, received from a multitude of delivery channels.

According to an AIIM survey, the most common types of files captured are scanned certificates, licenses and passports, which almost 80 percent of respondents listed. Those are followed by scanned forms (77 percent) and letters (68 percent), then PDF files, Email, faxes, images, web forms, video, SMS messages and mobile/tablet apps. Once scanned, information from all of these formats can be extracted and routed to pre-determined destinations based on various factors.

As technology progresses and information comes in new and advanced formats, gathering that information requires specialized expertise and equipment. By outsourcing data processing needs, a company can establish the parameters of how its data is extracted, where it is stored and how exceptions are handled. This puts information processing in the hands of specialists and frees other employees to focus on the company’s core competencies.
